Privacy Policy
Effective: October 25, 2026 · Last updated: October 25, 2026
This Privacy Policy explains how Caters.ai collects, uses, discloses, and protects personal information when people use our websites, applications, AI-assisted catering conversations, business tools, and related services.
1. Information we collect
- Account information: name, email, authentication identifiers, role, and account settings.
- Catering and conversation information: messages, menu requests, proposals, event details, dietary preferences, contact details, and files you submit.
- Business information: business name, contacts, address, website, menus, offers, branding, and staff relationships.
- Transaction information: order details, payment status, provider identifiers, refunds, and disputes. Payment-card data is generally handled by the payment processor rather than stored by Caters.ai.
- Communication preferences: consent status, unsubscribe status, source, policy version, and timestamps.
- Technical information: device, browser, IP address, logs, cookies, usage events, and security signals.
2. How we use information
We use information to provide and personalize the Service; authenticate users; connect customers and businesses; generate and deliver proposals; process orders and payments; send requested, transactional, and consented reminder messages; maintain preferences; provide support; detect abuse; secure and debug the Service; measure performance; comply with law; and improve features and AI systems.
3. AI processing
Conversation content may be sent to AI service providers to generate responses, proposals, or structured actions. Do not submit sensitive information that is unnecessary for the catering request. AI output is not guaranteed to be accurate. We configure providers and retention where practicable but their processing is also governed by our provider agreements.
4. How we disclose information
We may disclose information to the catering business involved in a request; vendors providing hosting, AI, authentication, email, analytics, customer support, and payments; professional advisers; authorities where legally required; and parties to a merger, financing, acquisition, or asset transfer. We do not sell personal information for money. If our advertising or analytics practices later constitute “sharing” or targeted advertising under applicable law, we will provide required notices and choices.
5. Email communications and consent
Requested proposal and transaction messages are handled separately from optional lead-follow-up reminders. Customers, including guest or temporary-account customers with a deliverable email, may receive catering-request reminders on an opt-out basis where permitted. You may unsubscribe in an email or through Email Preferences. Starting a new conversation does not silently reverse an unsubscribe. The choice is recorded for the applicable customer and business.
6. Cookies and analytics
We use necessary cookies for authentication, security, preferences, and core functionality. We may use limited analytics to understand usage and performance. Where required, nonessential cookies will be presented through an appropriate consent mechanism.
7. Retention
We retain information for as long as needed to provide the Service, maintain business and transaction records, resolve disputes, enforce agreements, meet legal obligations, and protect security. Retention varies by data type and relationship. Consent and suppression records may be retained to demonstrate and honor communication choices.
8. Security
We use administrative, technical, and organizational safeguards intended to protect information. No system is completely secure, and we cannot guarantee absolute security.
9. Your choices and rights
Depending on location, you may have rights to access, correct, delete, restrict, object to, or receive a copy of personal information, and to withdraw consent or appeal a decision. You may manage reminder emails through Email Preferences. We may verify identity before completing a request.
10. California notice
California residents may request information about categories of personal information collected, sources, purposes, disclosures, and retention, and may request access, correction, or deletion subject to exceptions. We will not discriminate for exercising applicable rights. Authorized agents may submit verified requests.
11. International use
Information may be processed in the United States and other countries where providers operate. Where required, we use recognized transfer mechanisms and safeguards.
12. Children
The Service is not directed to children under 13, and we do not knowingly collect their personal information. Contact us if you believe a child has provided information.
13. Changes to this policy
We may update this policy. We will post the new effective date and provide additional notice for material changes where required.
14. Contact
Privacy questions and rights requests may be sent to privacy@caters.ai. Caters.ai should confirm its legal entity name, mailing address, jurisdiction-specific representative, and request-verification process before production publication.
